Team Officer Roles

Welcome to Rally UP's team officer system. This guide explains what each role can do and how to manage your team's leadership.

The Three Officer Roles

President: Full Control

The president runs the team and has all permissions:

  • Roster management: add, remove, or edit athletes
  • Team profile & kit: edit the team name, logo, colors, and apparel
  • Announcements: post updates to the team
  • Brand pipeline: discover brands, pitch them, and manage sponsorship negotiations
  • Calendar: schedule practices, games, and events
  • Finances: view deal terms, set athlete revenue-share splits, manage payouts
  • Officer powers: add or remove VP and Treasurer, transfer the presidency, and sign sponsorship contracts

One president per team. Only the president can add/remove officers or transfer the presidency.

Vice President (VP): The President's Right Hand

The VP handles day-to-day operations and helps the president:

  • Roster management: add, remove, or edit athletes
  • Team profile & kit: edit the team name, logo, colors, and apparel
  • Announcements: post updates to the team
  • Brand pipeline: discover brands, pitch them, and manage sponsorship negotiations
  • Calendar: schedule practices, games, and events

What the VP cannot do: The VP cannot manage finances, add/remove officers, transfer the presidency, or sign sponsorship contracts. These are president-only.

One VP per team.

Treasurer: Finance Guardian

The treasurer oversees the team's money:

  • Deal financials: view all sponsorship deal terms and financial details
  • Revenue splits: set and adjust how athlete revenue-shares are split among the team

What the treasurer cannot do: The treasurer cannot manage the roster, edit the team kit, post announcements, manage the brand pipeline, or use any president-only powers.

One Treasurer per team.

How the President Adds or Removes an Officer

Adding a VP or Treasurer

  1. Go to your Team dashboard
  2. Click the Admins tab
  3. Under "Add Officer," enter the teammate's Rally UP account email
  4. Select the role: VP or Treasurer
  5. Click Add

The teammate must already have a Rally UP account. They'll be notified of their new role.

Removing an Officer

  1. Go to your Team dashboard
  2. Click the Admins tab
  3. Find the officer you want to remove
  4. Click Remove

The officer is removed immediately and will lose access to their role's powers. Their Rally UP account remains active.

What Happens When a President Leaves?

Planned Handoff: The President Transfers

If you know you're leaving and want to pass the torch:

  1. Go to your Team dashboardAdmins tab
  2. Click Transfer Presidency
  3. Select who takes over (usually the VP, but can be any eligible team member)
  4. Confirm

The new president has full control immediately. You become a regular team member.

Unplanned Departure: The VP Steps Up

If the president leaves without transferring and the team has a VP:

  1. The VP waits 30 days from when the president last signed in
  2. After 30 days, the VP can click Assume Presidency in the Admins tab
  3. The VP becomes the new president

This 30-day rule protects active presidents from being pushed out and gives the president time to re-engage if they're just busy.

Ultimate Authority: School Access Code

Each team has a school access code. Whoever has this code can reclaim or reset the presidency. This is the school's final authority. If there's a dispute or the team needs help, Rally UP support can assist.

Important Notes

  • Nobody can delete a team. Officer roles and team membership are always changeable.
  • Removing someone from the roster never deletes their account. They keep their Rally UP profile and can join other teams.
  • Officer changes take effect immediately. The new (or removed) officer sees the change right away in their dashboard.
